You can set up ca cell (or of course a range of cells) in excel so that when you click on the cell, it offers a dropdown list of items to select from.

The best way is as follows:

  1. Create the list itself by typing into a range of cells, usually in a different sheet, then give that range of cells a name.
  2. Select all cells (it may be an entire column) you want to enter values into.
  3. Choose menu option  Data > Validation.
  4. In the ‘Allow’ list, select ‘List’
  5. In the ‘Source’ box, type “=” followed by the name you have created in step 1.
  6. Click OK

That’s it! If you need to add more options to your list, you may need to extend the named range.
